Daisy for club students

Club FAQ.

Short answers to what club officers ask most: getting your club activated, spending and raising money, and when and where paperwork goes. When in doubt, the official forms and ASB have the final word.

Starting or renewing a club

Our club existed last year. Do we still have to do anything?
Yes. Every club, new or returning, reactivates every year. Until your club is activated it can't hold money, fundraise, do Club Days, or be officially recognized. Daisy can walk you through it on the renewal page.
What do we need before we can apply?
At least one credentialed advisor and at least six verified student members. Officers count toward the six.
What's in the charter packet?
The Club Activation Forms have four parts: basic information (name, purpose, meeting times, officers, members, advisor), a typed constitution signed by every board member, a preliminary budget report, and the club memorandum signed by your advisor.
Is there a separate club info form?
Yes. Fill out bit.ly/sthsclubinfo too. Charters aren't approved without it. Sports teams count as clubs but skip this form.
We're a brand-new club. Anything extra?
Explain how your club is different from existing clubs in the same category. Clubs that look too similar to one already on campus have been tabled.
Our application was tabled. Now what?
Tabled means not approved that week. Fix the issue and resubmit; plenty of clubs get approved a week or two later. The most common reason is a missing constitution, followed by a missing club info form or incomplete budget report.

Spending money (RPO)

What is an RPO?
A Request for Purchase Order. It's how your club asks ASB to pay a vendor directly, reimburse someone, or buy from Amazon through the school. Grab the official RPO form, or build your RPO on Daisy and print it ready to sign.
Does Daisy save my RPO if I leave halfway?
Yes. The RPO builder autosaves your draft in this browser as you go, and every draft shows up in My RPOs so you can pick it back up or duplicate it next time. It also remembers who signs for your club (the Signers step), so you don't retype names. Your officer and advisor still sign the paper copy you turn in.
Can I email the RPO to ASB?
On the last step, “Email it to ASB” fills the PDF and starts an email to sthsasb@gmail.com with a summary. That's a heads-up, not a submission: the signed RPO and minutes still go in the box before Wednesday lunch.
Can we buy first and get paid back later?
No. Approve first, buy second. Receipts dated before your RPO was approved are not reimbursed.
What has to happen before we submit?
Hold a club meeting where someone motions, someone seconds, and the club votes on the purchase. Record it in the meeting minutes (page two of the RPO). The vendor and amounts in the minutes must match the RPO exactly.
Who signs it?
A club officer and your advisor sign both the RPO and the minutes. Leave the admin box at the top blank.
How do Amazon orders work?
Amazon items are bought by the school, not by you. Check “School Purchases from Amazon,” write “Amazon” as the vendor, and forward your wishlist to phamma@esuhsd.org.
I paid out of pocket after approval. How do I get reimbursed?
Turn in the original receipt to the school bank within one week of the purchase. Screenshots and photocopies don't count.
What can't we spend club money on?
Gift cards, paying students for services, or anything that benefits individuals instead of the current group of members. Purchases should benefit the whole club.

Fundraisers

How do we get a fundraiser approved?
Vote on it in a club meeting, then submit the Fundraiser Application with its own copy of the minutes. Be specific about the purpose (“travel to a chess tournament,” not “raise funds”).
Can Daisy help with the fundraiser form?
Yes: plan a fundraiser on Daisy. You still turn in the signed application and minutes like any other paperwork.
How far ahead do we need to submit?
Turn in paperwork the week before. The event date has to be at least one week after you submit.
Can we sell food at lunch?
Not during school hours, and not until 30 minutes after the last bell: 4:10 PM on Mondays, 4:35 PM on Tuesdays and Thursdays, 3:30 PM on Wednesdays and Fridays. Only one club can sell food on a given school day, with up to three kinds of items. The exception is a few cafeteria days a year that ASB schedules. If you hand out unpackaged food (pizza slices, muffins, poured drinks), attach a Food Handler's Card copy.
What happens to the money after?
Turn it in to the school bank within one business day; never keep it in a classroom or car. Submit the inventory form to the bank within one business day too. Your advisor stays with the cash box the whole time.
We want to take card payments. Is that possible?
Yes, with the school iPad (GoFan). Email the items and prices to phamma@esuhsd.org to set it up; a faculty member picks it up and returns it at the attendance office.
We need supplies for the fundraiser. Does that need an RPO?
Yes. Buying supplies is spending money, so it needs its own approved RPO, even if it's for a fundraiser.
What kinds of fundraisers aren't allowed?
Crowdfunding (like GoFundMe), raising money for outside charities, gift cards, and high-risk events like dunk tanks, eating contests, or bounce houses. Joint fundraisers with other clubs, silent auctions, and donation jars are generally fine.

Deadlines and where to turn things in

When is the club activation deadline?
Turn in your complete charter packet to ASB before November 1. No RPO, fundraiser, or transfer gets approved until your account is activated.
Where do we drop off paperwork?
A club member (not your advisor) drops the paper form and minutes in the box in the front office or the blue lockbox outside the ASB room, Room 803. Never in the Activities Director's staff mailbox.
When is the weekly cutoff?
Before Wednesday lunch. ASB reviews and approves RPOs at its Wednesday lunch meeting, so get paperwork in the box before then (special schedules can shift this).
How do we know if we were approved?
Check the ASB paperwork tracker or the ASB meeting minutes, which are updated during the meeting. Don't assume approval until you've seen it.
When are checks ready?
After ASB approves, an administrator signs, then it goes to the Finance Clerk. Checks and POs are ready Fridays at 2:15pm, likely the Friday after approval.
Can we submit an RPO and a fundraiser together?
Yes, but each form needs its own copy of the minutes. Fill every field except the admin sections, and only use this year's (2026–27) forms.
How do we move money to another club's account?
Use the Club Transfer Request, signed by both treasurers and both advisors, with minutes attached. Transfers seem to be decided case by case, so ask ASB first.

Contacts

Who do I ask about Amazon orders, the iPad, or outside vendors?
Mac Pham, the Activities Director: phamma@esuhsd.org. Outside vendors (food trucks, DJs, photo booths) need at least two weeks' notice and a signed contract; students can't sign contracts.
Who do I ask about paperwork status or ASB meetings?
The ASB Executive Officers: sthsasb@gmail.com.
Where's the official list of every form?
The STHS Clubs & Organizations page links every form and how-to.
How do I get other officers onto Daisy?
Print or share the one-page flyer with a QR code to ourdaisy.com. It also links a calendar reminder for the Wednesday-lunch RPO cutoff.
Do we have to go to Interclub Council?
Yes. One or two reps should attend every ICC meeting. It meets during tutorial and is announced a week ahead. Missing more than three can affect your club next year.
